🏕️ Riverbend Camp Terms & Conditions

1. Acceptance of Terms

  • By booking, making payment, or entering the property, you agree to these Terms and the Camp Rules.
  • The person making the booking is responsible for all guests and any visitors.

2. Definitions

  • Riverbend / We / Us: Refers to Riverbend Camp, its owners, staff, and contractors.
  • Guest / You: The individual booking or using our facilities.
  • Camp Rules: Guidelines published on our website and displayed on-site.

3. Booking & Payment

  • Quotes are valid for 7 days unless otherwise stated.
  • Bookings are confirmed only upon receipt of payment and written confirmation from us.
  • If someone else pays for your stay, you must disclose who will be staying and the purpose. Inaccurate or missing details may result in cancellation.
  • Full payment is required before check-in unless otherwise agreed in writing.
  • Prices may change without notice until your booking is confirmed.

4. Cancellations & Refunds

Your cancellation:

  • 14+ days before check-in: Full refund minus R250 admin fee
  • 7–13 days before check-in: 50% refund
  • 0–6 days before check-in or no-show: No refund
  • Early departure: No refund

Our cancellation:

  • We may cancel for safety, legal, or operational reasons, or if false information was provided. You’ll receive a full refund, but no compensation for indirect losses.

Force Majeure:

  • If your stay becomes impossible due to events beyond control, we may offer a date change or refund at our discretion.

5. Right of Admission

  • We reserve the right to deny entry or remove anyone who violates Camp Rules, endangers others, causes disruption, damages property, or acts unlawfully.
  • All decisions are made fairly and in accordance with the law.
  • No refunds for removal due to breach.
  • Remaining on the property after permission is withdrawn constitutes trespassing.

6. Check-In, Check-Out & Visitors

  • Check-in: From 14:00 | Check-out: By 10:00 (unless agreed otherwise)
  • Occupancy limits are as stated in your booking confirmation.
  • Day visitors must be pre-approved and leave by 21:00.

7. Camp Rules

  • All guests and visitors must comply with the Camp Rules, which are part of these Terms.

8. Safety & Risk

  • Use of the property, river, and facilities is at your own risk.
  • Children must be supervised at all times, especially near water and fire.
  • No generators, fireworks, firearms, or hazardous items without written permission.
  • Weather and river conditions may change rapidly—follow staff instructions.

9. Damage, Loss & Cleaning

  • You’re responsible for any damage, loss, or excessive cleaning caused by you, your group, visitors, pets, or contractors.
  • We may charge reasonable fees for repairs, replacements, or site restoration.
  • Vehicle recovery on-site is at your own expense.

10. Parking & Valuables

  • Parking is at your own risk.
  • We are not liable for theft, loss, or damage to vehicles or personal belongings.

11. Events, Filming & Commercial Use

  • Events, workshops, retreats, filming, content creation, or drone use require prior written approval.
  • Unauthorized activities may be stopped immediately and may result in removal without refund.

12. Alcohol, Smoking & Substances

  • Drink responsibly—disruptive or unsafe behavior may lead to removal.
  • Smoking is allowed only in designated areas. Dispose of cigarette ends safely.
  • Illegal substances are strictly prohibited.

13. Pets

  • Pets are allowed only with prior approval. Owners are responsible for behavior, waste, and any damage. A pet fee may apply.

14. Privacy & POPIA

  • We collect and process personal data to manage bookings, comply with legal obligations, and ensure safety.
  • Contact details are used for confirmations and operational communication.
  • We do not sell your data. Service providers may process data under confidentiality agreements.
  • CCTV may be used for security purposes.
  • You may request access to or correction of your personal data via email.

15. Complaints & Disputes

  • Please report any issues during your stay so we can resolve them promptly. Failure to do so may limit future claims.
  • South African law applies. You consent to the jurisdiction of the Magistrates Court for any claims we may bring.

16. Liability

  • We do not exclude liability where prohibited by law. Your rights under the Consumer Protection Act remain intact.
  • Subject to the above, we are not liable for indirect or consequential losses. Our total liability will not exceed the amount paid for your booking.
  • 17. Breach of Terms
  • If you breach these Terms or the Camp Rules, we may cancel your stay or remove you from the property without refund and recover any losses or costs.
  • 18. Amendments
  • These Terms may be updated periodically. The version in effect at the time of your booking confirmation will apply.
